Who it is for
Coalesce is for a small business. One signup is one business. Users added to that business work inside the user range on the plan. The records are not shared with another business.
Features
Inventory and warehouse
Products keep a company quantity and a cost. Stock is also stored by location and bin, with an optional lot or serial number. You can transfer between bins, count a location, print a barcode label, and review stock history.
Purchasing
Purchase orders can be received in part into a bin, with a lot or serial when the product tracks one. A suggested-purchase list shows items at or below the reorder point. Received quantities can be billed later.
Sales orders and quotes
A quote can be printed and turned into a sales order. An order can be picked, printed as a packing slip, and shipped in full or in part. Shipping removes the shipped quantity from stock.
CRM
Leads, a deal pipeline, contacts, tasks, and activity notes are kept for the business. Quotes sit with the customer record and can become sales orders.
Invoicing and payments
An invoice is created from the quantity that has shipped and is not yet invoiced. Customer payments apply to open invoices. The invoice and a customer statement can be printed. Email sends only when you choose Email invoice.
Accounts payable and receivable
Supplier bills come from received purchase-order lines. Supplier payments apply to open bills. Aging reports show open customer invoices and open supplier bills.
Expenses
Expenses use a category and post to the ledger. A receipt file stays with the expense and is not a public page.
Financial reports
Profit and loss, balance sheet, cash summary, and tax reports use a date range. Invoices, payments, bills, and expenses post a balanced journal.
Sales tax
Each business keeps its own sales tax rates. Invoice tax uses the rate on the invoice, and the tax report lists tax for the dates you choose.
Integrations
Invoices, bills, payments, and the chart of accounts can be downloaded as QuickBooks Online CSV, Xero CSV, or IIF. Signing in to QuickBooks Online is not included. Online invoice payment is available after the business saves its own Stripe keys. The business can set its own SMTP, create API keys, send signed webhooks, import a bank CSV or OFX file, and import products, customers, and suppliers from CSV.

What does a plan include?

Every plan includes inventory, purchasing, sales, CRM, accounting, more than one warehouse, the practice workspace, and the help assistant. There is no price per extra user. A team larger than 30 users can use Contact us for a quote. The platform admin can change these prices.
How long is the trial?
The trial is 30 days. It starts when the business is created and does not ask for a card. There is no contract. Billing is monthly, or annual at 10 months' price for 12 months.
Does each business have its own records?
Yes. A business signs up and keeps its own products, orders, customers, and books. Another business cannot open those records.
Can I try it before signing up?
Try the demo opens a shared practice workspace. You can change the sample records. It sends no email, text, or card charge. The sample data is replaced once a day. A signed-up business also has its own practice workspace.
How does online invoice payment work?
Online payment stays off until that business saves its own Stripe secret key and webhook secret. The webhook records one payment for the invoice balance.
Can accounting records be exported?
Invoices, bills, payments, and the chart of accounts can be downloaded as QuickBooks Online CSV, Xero CSV, or IIF. Signing in to QuickBooks Online to sync records is not included.
